Information for Graduating Students in May 2016


Your upcoming graduation from The Fuqua School of Business will bring some changes to your network and file access.

Congratulations on your recent accomplishments!

The following FAQs may be useful as you prepare to leave campus.

Feel free to contact the Technical Support Center with any other IT questions or visit the Technical Support Center Online for more information. It has been our pleasure serving you.

1) Fuqua H: Drive

  • What will happen to my H: drive data?
    Your H: drive data and information will remain available through September 30, 2016. You will need to remove or archive your data before that date. As a reminder, there are CD-RW drives available in the Main Lab.

2) FuquaNet ID

  • How long will my FuquaNet account be active after I graduate?
    Your FuquaNet account gives you access to public PCs at Fuqua, the Fuqua VPN, as well as the H: drive. Your FuquaNet account will remain active until September 30, 2016.

3) Duke Email Account

  • How long will my email account be active after I graduate?
    Your NetID (Duke E-mail) account will remain intact for approximately one year after you graduate. This account is managed by Duke OIT. You may call OIT at 919.684.2200 if you have any concerns about your email.

4) Fuqua Alumni Web Site

  • When will I be able to access Fuqua's Alumni web site ?

    You may continue to access the alumni web site with your NetID account for one year after graduation. To guarantee continued access after this time, please change your alumni login ID after graduation (this will only change the login ID you use to access the alumni site).

    Although you are already listed in the alumni directory, you will not have access to update the your profile until your alumni status has been entered in the directory after graduation. Please check back in late May to update your mailing address to receive the alumni magazine and other communications. If you prefer to update your address before this time, send the information to alumni-info@fuqua.duke.edu.

5) Sakai

  • How long will I have access to Sakai?
    While your access to Sakai will last for 1 year from graduation, it is up to the individual professors on how long they will leave the content for their classes up. it is our recommendation to download all the files that you wish to retain immediately to avoid any problems should the professors decide to pull their content down over the summer.
  • How do I download my course files?
    After logging into Sakai, click on the Resources link for the course. Select Upload-Download Multiple Resourse and follow the instructions for your computer platform.

6) Newsgroup & Discussion Spaces

  • How long will our class newsgroups be available?
    The platform discussion boards used by students in the executive MBA programs are kept online and made available to students for six months after their class graduation date. Once this six-month period elapses, the class discussion groups are taken offline and archived as part of ongoing maintenance to the Fuqua newsgroups.
  • How will I keep in touch after the news groups go away?
    Make sure to join the Fuqua Alumni LinkedIn Group.

7) Box Storage

  • What happens to my Box storage when I leave Duke?
    Students will be able to keep their Box account upon graduation. The account will be transitioned to a personal Box account and will keep the allotted 50 GB of storage space. Faculty and staff accounts will expire immediately upon leaving Duke employment.

8) Team Tools

  • How long will we be able to communicate through Team Tools?
    Graduating students will retain access to Team Tools until August 31, 2016. Continuing students will see no change in their Team Tools access and will have to do nothing to retain access to their current Teams.
  • How can we transfer ownership of a Team on Team Tools to a continuing Fuqua student?
    Current team "owners" may transfer ownership to another team member through the edit feature in team tools. Select the link to "Adjust add/delete privileges". Select the team member to whom ownership will be transferred and then save your changes. Team ownership transfers should be completed by July 31, 2016.

9) Ford Library Databases

  • How long will I have access to the Library databases after I graduate?
  • Access to Library databases which require the Duke NetID and password for access may expire between 5 to 10 days following graduation, or when Duke changes a student's record to "alumni" status. Ford Library does not manage Duke NetID and password accounts, and vendor license agreements also do not allow the Library to extend these accounts for purposes of continuing access to databases.

    The Ford Library does offer select databases and a variety of services to alumni on an ongoing basis. Access to the Library Databases for Alumni will be available when Duke changes a student's record to "alumni" status. 10) Software Usage After Graduation

  • Which software can I continue to use after I graduate?

    Students that haven't already downloaded and installed a permanent license for Microsoft Windows and Microsoft Office from Duke OIT should plan on signing onto http://dukeoit.onthehub.com to obtain license keys and install media prior to graduation. This is required to eliminate any software authentication or activation issues post graduation.

    The license key located on the receipt must be saved or printed in addition to backing up the install media that is downloaded. There is no recourse for obtaining these items after graduation.

    For users of VMWare Fusion on the Mac or others that have installed the KMS version (installed prior to October 2012) of Windows or Office that requires activation on Duke's network every six-months, they will need to uninstall the software and reinstall with the version from the On The Hub site. Again, there is no recourse to obtain this permanent license after graduation from Duke. If you have any questions as to which version you have please contact the TSC prior to graduation.

    Students may continue to use course related software such as Regress and Crystal Ball for academic purposes only. The current Crystal Ball license will expire in August of 2016.
